Executive Assistant

• Provide direct administrative and office management support to the VP.
• Maintain work, travel and daily schedules and calendar of VP.
• Prepare travel schedules, book travel arrangements, and make reservations for client and staff meetings
• Coordinate logistics of Divisional programs including meetings, seminars, workshops, special projects, and events
• Review all documents, reports, and correspondence prepared for VP, for format, content, grammar, spelling and edits as necessary
• Prepare draft reports, background documentation, and research
• Receive and screen all inbound telephone calls, e-mails, and visitors
• Refer and/or redirect calls, e-mails, or visitors as required
• Troubleshoot and/or escalate staff and client concerns accordingly
• Receive and distribute incoming mail
• Review, evaluate, and distribute priority correspondence for VP.
• Facilitate communication from Department Managers, Property Managers and Project Managers
• Complete expense reports, pay invoices, and other related duties
• Prepare and review presentations
• Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons
• Reception coverage
• Other duties shall be assigned as required


• 5-7 years' experience in an Administrative role – supporting an Executive office preferred
• Strong knowledge of best practices and office administration
• Excellent verbal and written communication skills
• Keen attention to details and able to work under tight deadlines and pressure
• Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point)
• Resourceful and flexible
• Independent thinker and team player
• Discreet and confidential
• Proven organizational and time management skills


• 47k - 55K base salary (depending on experience)
